Description
Ever secretly wished to get rid of your spreadsheets and numerous apps and just to track your clients process and deliver them a great coaching experience?
How about you have a system that represents your style?
How about having one central location to track sessions, check-in on your clients progress and still create a unique coaching journey for your clients? It may have taken you years to develop your most impactful coaching process — now you want to bring it into a stable setup. The Notion Coaching template helps you to organise your clients and reflect your personal coaching process.
.
Upgrade your business with less data clutter with the Notion Coaching template
This template is great for coaches who want to manage their business, including client portal, in Notion. With the Notion Coaching template you save yourself endless hours figuring out how to set it up yourself and it’s made by a Certified Notion Consultant to guarantee quality.
Take it up a notch and deliver your clients a personal and structured coaching experience. All the while you can easily check in on their progress. With this Notion template you will save on expensive coaching apps and have the basis for your coaching portal in Notion. Mind, you might still need to customise it further to adapt it to your personal scenario.
Set it up once, tweak when needed and deliver great value to your clients
With this template setup you’ll invite your clients to their own portal as guests. Notion doesn’t limit the number of guests on the Personal Pro plan or stay on the free Personal plan if you have fewer than 10 clients.
.
Client Portal — Everything in one place
Track sessions, assign home work to your clients from your central knowledge hub without switching back and forth.
You clients will see their sessions/meetings, check in on the reading material you have given them and record their home work. You on the other hand can easily track every client and give home work from your central knowledge hub (without them seeing your hub).
Bonus
The Notion Coaching template comes with a client portal template (a template within the template) that show cases a particular coaching practise. You will find exercises and habit trackers for your clients in the client portal template. Such as
- a guided writing exercise to write their life plan
- a guided adventure map to help your inner hero and keep your inner villains in place
- track their habits and have a visual output on their progress
- record/track their daily planning
- track their weekly how they are doing on core topics (family, emotions, friends, family, etc.) and get an automatic visual score output
- track their stress level on core trigger topics (anger, irritations, etc.) and get an automatic visual score output
Keep what’s useful and remove the rest.
.
CRM
Stay in touch with key people
Your CRM section of the Notion Coaching template allows you to record any type of contact, not only clients. With it you can track any interaction you’ve had. Based on those entries you can define in which cycle you want to get in touch with them. The soon a new interaction is due, it will be flagged on the contact record and you get a pre-defined filter to immediately spot with whom you should get in touch again.
.
Save yourself time and money*
It would take an experienced Notion Consultant around 25 hours to build this setup. If building systems isn’t your main occupation, it’ll take you even longer.
Comparing this setup with other solutions that offer client portals for coaches, they’re much more expensive and you would need to pay for it ongoing. They were pre-built with you, the coach, in mind and this upfront development time is reflected in the “rental” price.
In the table below we compare the cost of such portals with our system. The saving cost of centralisation, having everything in one place, isn’t included as this is highly individual.

Why Notion?
Other applications have been designed for a specific use case, a specific way of things are done and don’t leave room to adapt it further to your needs. They are “take it or leave it”.
Notion allows to build flexibly for your situation and with the template, some ground work has been done already. Take it from here and refine it to your needs. At the same time, Notions plans are easy on your wallet — no monthly fee per client.

Pro and Contra of this template
Pro
- great starting template for your coaching practise to document it for you and your client at the same time
- centralise your knowledge
- have a client data base
- see pre-booked sessions and sessions taken
- save on expensive coaching application fees
Contra
- you are just starting out with your business, then this product isn’t for you. You have no experience how your coaching processes are and will be lost with the flexibility Notion provides.
- requires good knowledge of Notion, especially databases (learning resources are provided — free & paid). If you’re a total beginner with Notion, purchasing this template will be too steep of a learning curve. The structure behind the Coaching OS in Notion represents my experience of how to organise data. As a Notion novice this experience is hard to catch up fast (doable yes). Therefore, I recommend you book the White Glove option with it or consider taking a Notion course
- requires customisation to adapt it to your needs (time or money)
- it’s not a client portal as you know it. With every new client you will need to create their own portal. Changes have to be applied to every previously created portal manually
- some Notion limitations
- when inviting your clients as guests, you need to ask them to create a free Notion account
- savvy Notion users will be able to see the names of all guests in your Notion account (by hitting the @, try it for yourself)
.
The principal structure of the Notion Coaching template
The Notion Coaching Platform template has two main parts:
- internal facing: client data (CRM), knowledge base, pre-booked session database, a hub to centrally manage your clients
- external facing: client portal setup for each client with held client sessions
